THE CHILDREN’S COMMUNITY – TAMESIDE (“we”, “our”, “us”) take your privacy very seriously. 

This Privacy Notice sets out how we use and look after the personal information we collect from you. We are the data controller, responsible for the processing of any personal data you give us. We take reasonable care to keep your information secure and to prevent any unauthorised access to or use of it.

1. What Personal Data We Hold on You 

Personal data means any information about an individual from which that individual can be identified. We collect, use, store, and transfer personal data of our partners, volunteers, employees, trustees and beneficiaries.  

You provide information about yourself when you register with The Children’s Community – Tameside, by filling in forms at an event or online, or by corresponding with us by phone, email, or otherwise. This information may include: 

• Basic Information: Name, date of birth, address, email address, phone number, and gender. 

• Special Category Data: Relevant health, wellbeing, or safeguarding information. Where we hold this data, it will only be with the explicit consent of the participant or, if applicable, the member’s parent or guardian.  

 

Note: Where we need to collect personal data to fulfil our responsibilities as a charity and you do not provide that data, we may not be able to fully facilitate your involvement in our activities or events. 

 

1. Why We Need Your Personal Data & Lawful Bases 

We will only use personal data for any purpose for which it has been specifically provided. Under data protection laws, we rely on different legal bases to process your information depending on the activity: 

Personal data that is shared and more importantly needed is listed and may not be limited to the following: 

Purpose: Organising future activities such as school holiday hunger events. 

↳ Legitimate Interests: To effectively plan, manage, and deliver community events alongside community volunteer-led initiatives. 

Purpose: Sharing data with committee members to provide information about activities, or invitations to ad hoc events. 

↳Legitimate Interests: Necessary for the internal administration and running of the charity. 

Purpose: Sharing data with third-party service or facility providers. 

↳ Contractual / Legitimate Interests: To secure venues or services required for events you register to attend. 

Purpose: Sharing anonymised data with a funding partner as a condition of grant funding (e.g., Local Authority).  

↳ Legitimate Interests: To secure funding to keep our charity running (Note: Anonymised data is no longer personal data). 

Purpose; Sending out information such as newsletters and information regarding any change in opening hours, and ad hoc events. 

↳ Consent / Legitimate Interests: To keep you updated on the charity’s core updates and news. 

Purpose: Ensuring we understand possible health risks to protect attendee welfare.  

↳ Explicit Consent: Collected directly from you or a guardian (or Vital Interests in an emergency medical situation). 

3. Who we share your personal data with 

We may share your personal data with partner organisations who are working with us to support the running of our community initiatives. This will be for the specific purposes of helping us and our partners understand who is using our services and to help in the planning and development of our charitable projects. 

4. Protection of your personal data 

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. Access is restricted to committee members, employees, or volunteers who have a legitimate operational need to know. 

5. How long we hold your personaldata 

We keep personal data on our employees, volunteers, trustees, and participants while they continue to be actively involved with the charity.  

We will delete this data 12 months after an employee, volunteer, trustee, or participant has left or otherwise ended their affiliation with us, or sooner if specifically requested and we are able to do so. We may need to retain some personal data for longer periods strictly for legal, financial, or regulatory compliance purposes 

6. Your rightsregarding your personal data 

As a data subject you may have the right at any time to:  

• Request access to, rectification, or erasure of your personal data.  

• Restrict or object to certain kinds of processing of your personal data, including direct marketing.  

• Request the portability of your personal data.  

• Withdraw your consent at any time where we rely on consent to process your data. 

• Complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office (ICO), about the processing of your personal data. 

As a data subject you are not obliged to share your personal data with the charity. If you choose not to share your personal data with us, we may not be able to register you for certain activities or manage your involvement. 

7. Change to this Notice 

We may update this Privacy Notice from time to time and will inform you of any significant changes in how we handle your personal data.
